HYZ Ventures Technopark is hiring Executive Assistant
- Job Location: Balaramapuram Office, Thiruvananthapuram.

Responsibilities:
1. Front Desk Management:
- Greet Appointments visitors and guests in a professional and friendly manner.
- Answer and direct incoming calls to appropriate personnel or departments.
- Manage the reception area, ensuring a neat and welcoming environment.
- Assistance for completing appointment formalities.
2. Visitor Assistance:
- Provide information and assistance to visitors regarding the company, services or facilities.
- Assistance in sharing location and customer redressal
- Ensuring the receipt of appointment letters and ensure security protocols are followed for access.
3. Appointment Scheduling:
- Drafting the appointment letter for scheduled appointments and mailing the same.
- Maintain calendars for meetings and conference rooms.
- Coordinate with internal staff to manage appointments efficiently.
4. Mail and Package Handling:
- Receive, sort and distribute mail and packages.
- Manage outgoing mail including courier services, if necessary.
5. Administrative Support:
- Assist with various administrative tasks such as data entry, filing, and photocopying.
- Provide support to other departments as needed.
- Book keeping and internal receipts maintenance.
- Filing of travel claims and co-ordinationing the disbursement with accounts.
6. Communication Hub:
- Serve as a central point of contact for internal and external communications.
- Relay messages and information accurately and promptly.
7. Technology Management:
- Operate and maintain office equipment, including phones, fax machines, and printers.
- Assist with basic troubleshooting for office technology.
8. Customer Service:
- Handle inquiries from clients, customers or the public in a courteous and professional manner.
- Resolve routine issues and escalate complex matters to the appropriate personnel.
9. Meeting Coordination:
- Assist in coordinating meetings including room setup, catering arrangements, and gmeet sessions.
- Arrange demo sessions for niche customers.
- Ensuring the presence of scheduled persons in every gmeet sessions.
- Ensuring time management in gmeet/online sessions.
10. Confidentiality:
- Handle sensitive information with discretion and maintain confidentiality.
- Adhere to privacy and security policies.
