A Reputed Firm is hiring Front Office Admin

Location: Edappally

Key Responsibilities:

1. Reception & Customer Service

  • Greet visitors and clients warmly, ensuring a professional and welcoming experience.

  • Answer and direct incoming phone calls promptly and courteously.

  • Handle inquiries and provide information about the organization’s services.

2. Administrative Tasks

  • Manage daily operations of the front office, including scheduling, correspondence, and filing.

  • Oversee incoming and outgoing mail, couriers, and packages.

  • Maintain and update office records, databases, and contact lists.

  • Assist with inventory management and ordering office supplies.

3. Scheduling & Coordination

  • Schedule appointments, meetings, and conference room bookings.

  • Coordinate with various departments to facilitate smooth communication.

  • Maintain calendars for office staff and management.

4. Support Services

  • Handle basic accounting tasks such as invoicing and expense reports.

  • Assist HR with onboarding processes, including managing access cards and employee records.

  • Support the events team with logistics for meetings and company gatherings.

5. Technology Management

  • Operate and troubleshoot office equipment such as printers, copiers, and phone systems.

  • Update and maintain front office software systems (e.g., visitor management tools).

Key Skills Required:

  • Communication Skills: Excellent verbal and written communication for interacting with staff and clients.

  • Organizational Skills: Ability to multitask and prioritize tasks efficiently.

  • Technical Proficiency: Familiarity with MS Office Suite, email systems, and office management software.

  • Interpersonal Skills: Professional demeanor and ability to build rapport with stakeholders.

Educational Qualifications:

  • Bachelor’s degree or diploma (preferred).

  • Certification in Office Administration or Customer Service (optional but advantageous).

Experience: 0-3 years of experience in a front office, administrative, or customer service role.
